Provide administrative assistance to the General Manager to ensure smooth office operations. Coordinate office communications with employees. Regular inventory and ordering...of office supplies; assist employees with supply needs as needed. Assist with technical support, coordinating IT needs with HQ IT Manager. Manage callers, visitors and incoming/outgoing mail. Serve as primary contact for evaluators with payment concerns; record and track all payment issues; register new evaluators for bank wire transfers. Issue end-of-month evaluator payments in collaboration with operations. Assist with human resource administration by coordinating payroll, benefits, and new hire paperwork with outside HR agency. Perform accounts receivable duties to include tracking client invoices, late payment follow ups (referring to collection agency when necessary). Peform limited accounts payable duties to include payment of office expenses, FGTS/ISS. Send all backup accounting files to outside accountant on a monthly basis for P&L and monthly account reconciliation/management. Other duties as business needs require. Management Reporting. To take responsibility for the preparation of accurate and timely Management Accounts, including Profit & Loss and Balance sheet. Ensure reconciliations...of Profit & Loss and Balance Sheet accounts are performed on a timely basis and are adequately supported. To manage the relationship with the external accounting provider, ensuring that all reports received from the external accountant are accurate, with the view to bring all accounting in-house and reduce our reliance on the external provider. Ensuring that they are accurate and submitted within the agreed timetable. Liaise with Group Head Office as required. To take responsibility for ensuring that outstanding Debtor balances are collected on a timely basis. Ensure that company liabilities are kept to a minimum and controlled. Review cash flow on a weekly basis, ensuring that it is managed effectively. Safeguard the company's assets and maintain a fixed asset register.
